Daichi Procurement Solutions Ltd ("Daichi", "we", "us") operates Daichi Lifestyle & Concierge from Nairobi, Kenya. This policy explains what personal data we collect when you engage our concierge services, how we use it, how long we keep it, and the rights you have over it. It is aligned with the Kenya Data Protection Act, 2019 and the EU General Data Protection Regulation (GDPR).

When you submit an enquiry, request a quote, message us on WhatsApp or email, we collect:

  • Identification: full name, company name where applicable.
  • Contact details: email address, phone number, WhatsApp number.
  • Request details: description of items, vehicles, gifts or services you wish to source, source country, budget range and timeline.
  • Communications: messages exchanged via our website forms, email, WhatsApp or phone.
  • Technical data: IP address, browser type and basic usage analytics, collected automatically when you visit the site.

Our primary contact channels — WhatsApp ( wa.me/254700000000) and email ( concierge@daichiprocurement.com) — collect any personal data you choose to share in those messages.

2. How we use your data

  • To respond to your enquiry and deliver the procurement or concierge service requested.
  • To process payments, arrange shipping, customs clearance and delivery in Nairobi.
  • To communicate updates about your order via your preferred channel.
  • To comply with our legal, tax and regulatory obligations in Kenya.
  • To improve our services through aggregated, anonymous analytics.

We do not sell your personal data. We do not use it for unsolicited marketing.

3. Legal basis for processing

We process your data on the basis of (a) your consent when you submit a form or message us, (b) the performance of a contract when we source and deliver goods on your behalf, and (c) our legitimate interest in operating and improving the service.

4. Sharing your data

We share the minimum data necessary with trusted third parties that help us deliver your request, including:

  • International suppliers, retailers and auction houses for sourcing.
  • Shipping, freight and customs clearing agents.
  • Payment processors and financial institutions.
  • Cloud infrastructure providers that host our website and database (Supabase, hosted in the EU).

All third parties are bound to confidentiality and may only use your data for the agreed purpose.

5. International transfers

Because we source globally, your data may be transferred outside Kenya — for example to suppliers in the UK, USA, UAE, China or Japan. Where this happens, we ensure appropriate safeguards are in place such as standard contractual clauses.

6. How long we keep your data

  • Active enquiries and order records: up to 7 years, in line with Kenyan tax and accounting law.
  • WhatsApp and email correspondence: up to 3 years from the last interaction.
  • Marketing or newsletter consent: until you withdraw it.
  • Website analytics: up to 26 months in aggregated form.

7. Your rights

Under the Kenya Data Protection Act and the GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
